OFFICE ASSISTANT

Job Description

Title:  Office Assistant
Part-time, 12-15 hours per week
Reports to:  Executive Director

Employment Start Date:  Early June 2018

Days/Hours Needed:  between 12-15 hours–within gallery office hours:  Tuesday – Friday, 11am-4pm, with occasional event assistance outside of office hours (occasional evenings & weekend hours may be required for special events).  It is very important that the candidate that we choose to be able to work during the gallery’s designated gallery/office hours

Job Description:  The role of the office assistant is to support Arts Center staff with daily office tasks, to welcome visitors to the gallery, and assist with details of event/show planning & fundraisers.

Required Skills/Experience:
– Excellent Interpersonal & Communication Skills
– Computer Proficiency with email and web navigation, as well as the following software applications: Microsoft Word, Excel, Publisher, & PowerPoint, as well as the ability to learn Microsoft Access, Quickbooks, and other relevant fundraising and database software, as needed.
– Attention to detail
– Strong writing skills
– Self-starter who can work independently
– Ability to adapt to a changing non-profit office environment

Job Duties (include, but are not limited to):

Office/Clerical Duties:
Filing
Organization
Answering phones/emails, as needed
Record Keeping
Data Input
Ordering supplies for the office, gallery, studio & facility, (including occasional pick-up of supplies locally)
Word processing
Regular deposits to LAC accounts

Program Assistance:
Assist staff with exhibit & program prep
Maintain program records, such as studio enrollment & donation records
Create calendar listings for LAC events sent to local publications

Event Assistance:
Assist director with organization for openings, shows, events and fundraisers
Occasional help with event set-up/pick-up and light cleaning tasks in preparation for events (occasionally outside of regular office hours)
Occasional opening/closing for studio classes
